Can I add a couple of suggestions to that guide? It's helped me massively on the trips I've run.
Do a printout for everyone of the list of members for the trip. I usually do it from a screenshot of the members who are coming along, that way you've got a photo as a cue. Really helps with remembering names through the day.
Also, have a printed sheet with columns for drivers name, passengers names, vehicle make and rego number, and an emergency contact. As the trip leader you are responsible for emergency management in the case of an accident.
And I believe it should be a requirement that all trip leaders carry a basic first aid kit and a fire extinguisher. These really can make a difference between life and death.
